Summary/Objective

The Purchasing Agent is responsible for managing the procurement of products to support the company’s wholesale operations. This role ensures timely and cost-effective purchasing, maintains optimal inventory levels, and builds strong relationships with vendors to secure favorable pricing, quality, and delivery performance.

Essential Functions

  • Issue purchase orders and ensure accuracy in pricing, quantities, and delivery dates.
  • Maintain strong working relationships with suppliers and troubleshoot issues such as back orders, pricing discrepancies, and delivery delays.
  • Monitor vendor performance and participate in vendor reviews
  • Coordinate with warehouse teams to ensure timely receipt of goods and resolve quantity/quality discrepancies.
  • Work closely with sales, operations, and finance to understand stock needs and support business goals.
  • Monitor product availability, lead times, freight costs, and market trends to make informed purchasing decisions.
  • Maintain accurate purchasing records, pricing files, and vendor databases.
  • Communicate directly with the Director with updates regarding stock inflow and outflow.
  • Compile inventory data and present it to the Director for effective decision making.
  • Checks requisitions for appropriate approval and account numbers.
  • Resolve discrepancies and process returns.
  • Approve vendor invoices for payment.
  • Follows environmental and safety regulations and acts in compliance with U.S. laws.
  • Comply with safety and corporate guidelines on business ethics.

Required Education and Experience

  • High School diploma
  • At least two years of purchasing experience

Preferred Experience

  • Associate or Bachelor Degree
  • Experience in plumbing, heating, HVAC, or electrical industry preferred.
