JOB DESCRIPTION – Operations Coordinator
Summary/Objective
Support corporate and branch leadership by coordinating a fleet of delivery trucks and fork trucks to include truck maintenance and repair scheduling, driver performance, DOT and OSHA Compliance via Innovo Deliver and Motive software, and training administration.
Works in conjunction with the corporate Operations team and Branch Managers to identify and coordinate capital improvement projects and oversees projects through to completion. Oversees facilities to include janitorial, alarm systems, device management and takes ownership of other projects/responsibilities as deemed necessary.
Fleet Responsibilities – Delivery Trucks
- Maintains a fleet of delivery vehicles to affect the movement of trucks to different facilities, when necessary, as repairs dictate.
- Ensure repairs are completed timely and make necessary arrangements to ensure that each branch has a fully operational delivery vehicle through strategic movement or rental.
- Tracks inspections and use Motive to track when trucks are up for inspections and preventative maintenance. Expedites repairs by following up with vendors.
- Manages and communicates driver and delivery performance via Innovo Deliver and Motive programs. Tracks performance used for quarterly incentive bonuses for Drivers. Gain knowledge to utilize both programs to necessary capacity.
- Owns and administrates Safety First program and reports complaints/compliments to appropriate parties.
- Maintains accurate fleet records and proactively communicates maintenance repair costs to operations leadership and owners.
- Other fleet projects as necessary or assigned.
Fleet Responsibilities – Fork Trucks
- Maintains a fleet of fork trucks of various capabilities to include maintenance and repairs.
- Administers fork truck certifications and tracks 3-year forklift recertifications.
- Follows up with Branch Managers to ensure repairs are completed timely.
- Maintains detailed record keeping on repair costs and makes appropriate recommendations.
Facilities
- Works through and in conjunction with Branch Managers to identify and coordinates capital improvement projects and maintenance repairs. Conducts site visits to gain knowledge on scope of project when necessary. Drives for completion!
- Maintains contracts for waste disposal, landscaping and snow removal services. Follows up on contract renewals.
- Drives vendor compliance by attaining proper proof of insurance documentation before vendor begins work. Understands that vendor will not perform work without proof of insurance.
- Administrates facility alarms through Home and Commercial and immediately identifies and corrects alarm issues. Play a key role in protecting the assets of Supply New England.
- Periodically conduct branch visits with or without Operations Manager and conduct facility inspections.
- Oversees safety and wellness program.
- Owns other projects as assigned.
Required Education and Experience
- At a minimum, associate’s degree, or equivalent combination of education and experience; 1-2 years.
Preferred Education and Experience
- Knowledge of Industry – Plumbing, Heating, HVAC
